We will ask all volunteers to attend one of many orientation evenings either in person or by teleconference.  Your interest is greatly appreciated!

Register to volunteer at the Triennial Congress

Information desk (1-2 volunteers)

– Provides general information to delegates on program timing and location

– Has general knowledge of Ottawa and tourism spots

– Additional copies of print materials will be availabl

Registration (4-8 volunteers)

– Registers Congress delegates quickly and efficiently as per outlined registration process

– Refers problems to the Head of Registration for solutions

Workshop Moderators

– Ensures efficiency of workshop

– Assists speaker in solving issues and provides them with anything they need

– Helps maintain decorum and quiet during sessions

VIP Greeters (1-3 volunteers)

– Meets VIP guest and their staff at the front doors with all required badges and information

– Arranges for parking as required

– Brings VIP guests to their designated seating area, ensures that they have everything they need

– Escorts them out following their speech/session

Head Usher (1 volunteer)

– Responsible for the Usher team in the plenary hall and workshops

– Stationed at the technology table

– Oversees the vote count/balloting along with the Chair

– Distributes official print materials to the usher team for delegates

– Assigns mobile microphone duties to one usher

– Reports to the Congress Manager and the Chair from the technology table

General Ushers (5-10 volunteers per shift)

– Opens doors to plenary hall at direction of the Head Usher

– Welcomes and directs delegates in the plenary hall, checking for credentials

– Hands out approved printed materials as directed by Head Usher

– One usher will have responsibility for mobile microphone

– Following plenary sessions, helps direct delegates to workshop rooms

– On Sunday, in case of a vote, assists in the vote count and/or ballot distribution

– Answers general questions and directs to the Congress information desk for further information

– Helps maintain the decorum, silence and tidiness of the plenary hall

– At workshops, assists the moderator with the microphone

Event Setup Crew (5-8 volunteers)

– Prepares delegate bags with materials

– Posts signage throughout the hotel

– Sets up plenary room, workshop rooms and other Congress meeting spaces

– May support special evening events setup

Evening Event Attendant

Assists with Friday and Saturday evening events with duties such as:

-greeting and registering guests

-directing/moving delegates and VIP’s between venues

-assisting with setup and takedown of special displays
